Wellow Village Hall CCTV Policy


Purpose of the policy

Closed circuit television (CCTV) is installed at Wellow Village Hall. This document details the policy and procedures used to control the management of the CCTV.


Purpose of CCTV at Wellow Village Hall

The purpose of the CCTV at Wellow Village Hall is

1.      To assist in maintaining the security of the premises

2.      To deter and prevent crime and antisocial behaviour

3.      To assist law enforcement agencies if the need should arise

This policy applies to all users and hirers of the premises, the general public and all of the charities trustees and volunteers who have access to the hall for activities held at the venue or are parking at the hall.


Policy statement

The trustees and committee members of Wellow Village Hall will ensure the CCTV is used in accordance with this policy. The system is used for the prevention and detection of crime, safeguarding volunteers and visitors, ensuring compliance with health and safety and adhering to the halls hire agreement.


Responsibilities

The committee of Wellow Village hall will take responsibility for the control of images and decisions on how the CCTV will be used. Day to day operational responsibilities are with the Vice Chair and Treasurer of the hall committee and it will only be those monitoring the system on a daily basis, unless their availability should be limited and access be permitted to other committee members.

Procedure

The cameras are sited externally in the following locations.

1.      At the side of the building overlooking the side gate and path that allows access to rear of the property

2.      At the rear of the building monitoring the access behind the parish room.

3.      On the front of the building monitoring the porch, front door and key safe



The location of the cameras has been selected to ensure that no monitoring of the garden to the rear is undertaken when vulnerable groups maybe hiring the venue.

Images are recorded digitally and stored for a maximum of 30 days in a cloud.

Sound is not recorded.

GDPR compliant signage is installed notifying of the CCTV cameras presence.

Normally images will not be retained for longer than 30 days unless this footage is of use for crime prevention or monitoring suspicious or unauthorised activity

Request for access to recordings should be made by email to the Wellow Village Hall committee.

In accordance with the law relating to the use of CCTV, Wellow Village Hall are registered with the ICO.
